Persoonsgegevens die wij verwerken

Joinlii verwerkt uw persoonsgegevens doordat u gebruik maakt van onze diensten, onze evenementen bezoekt en/of omdat u deze zelf aan ons verstrekt. Hieronder vindt u een overzicht van de persoonsgegevens die wij verwerken:

1. registratiegegevens (naam, organisatie, functie, contactgegevens);
2. informatie over deelname aan evenement;
3. communicatievoorkeuren;
4. betalings- en facturatiegegevens;
5. interactiegegevens tijdens het evenement (bijv. deelname aan workshops, downloads, contactmomenten);
6. technische gegevens bij online gebruik (IP‑adres, browserinformatie, klikgedrag)

Joinlii verwerkt uw persoonsgegevens voor de volgende doelen:

1. administratieve afhandeling van de deelname of bezoek aan een evenement georganiseerd door Joinlii;
2. communicatie over het evenement en aanverwante organisatorische zaken;
3. veiligheids- en toegangsbeheer;
4. facturatie en financiële administratie;
5. naleving van wettelijke verplichtingen.

Joinlii kan tijdens uitvoering van de door Joinlii verleende diensten foto’s, video’s en andere vormen van beeldmateriaal kan maken waarop u zichtbaar kunnen zijn. Deze opnames kunnen zowel overzichtsbeelden als close‑ups omvatten.

Joinlii heeft niet de intentie gegevens persoonsgegevens te verzamelen van personen die jonger zijn dan 16 jaar. Tenzij ze toestemming hebben van ouders of voogd. We kunnen echter niet controleren of een bezoeker ouder dan 16 is. Wij raden ouders dan ook aan betrokken te zijn bij de online activiteiten van hun kinderen, om zo te voorkomen dat er gegevens over kinderen verzameld worden zonder ouderlijke toestemming. Als u er van overtuigd bent dat wij zonder die toestemming persoonlijke gegevens hebben verzameld over een minderjarige, neem dan contact met ons op via privacy@joinlii.nl, dan verwijderen wij deze informatie.

Profilering

Profilering houdt in dat Joinlii bepaalde (persoons)gegevens combineert en analyseert om haar diensten beter af te stemmen op de behoeften van bezoekers, deelnemers, exposanten of zakelijke relaties. Het gaat hierbij om geautomatiseerde verwerking waarbij Joinlii patronen, voorkeuren of interesses proberen te herkennen. Profilering betekent niet automatisch dat er sprake is van volledig geautomatiseerde besluitvorming zonder menselijke tussenkomst.

Doeleinden van profilering

Joinlii past profilering toe voor verbetering van onze dienstverlening (bijvoorbeeld door te analyseren welke onderdelen van een evenement populair zijn, zodat Joinlii toekomstige edities kan optimaliseren) en communicatie (bijvoorbeeld om uitnodigingen, updates of marketingberichten beter af te stemmen op interesses die eerder getoond zijn).

Hoe lang we persoonsgegevens bewaren

Joinlii bewaart uw persoonsgegevens niet langer dan strikt nodig is om de doelen te realiseren waarvoor uw gegevens worden verzameld. Bepaalde persoonsgegevens moeten wij langer bewaren, omdat Joinlii zich moet houden aan wettelijke bewaarplichten, zoals de fiscale bewaarplicht.

In algemene zin hanteren wij de volgende uitgangspunten:

• Operationele gegevens (zoals contactgegevens, communicatie en administratieve informatie) worden bewaard zolang dit nodig is voor de uitvoering van onze overeenkomst of dienstverlening.
• Financiële en fiscale gegevens worden bewaard gedurende de wettelijke bewaartermijn van 7 jaar, zoals vereist door de Belastingdienst.
• Gegevens die Joinlii verwerkt op basis van toestemming worden bewaard totdat de toestemming wordt ingetrokken, tenzij een langere bewaartermijn wettelijk verplicht is.
• Gegevens die niet langer noodzakelijk zijn voor het doel waarvoor ze zijn verzameld, worden verwijderd of geanonimiseerd zodat ze niet langer tot een persoon herleidbaar zijn.
• In sommige gevallen kunnen wij persoonsgegevens langer bewaren wanneer dit noodzakelijk is voor het afhandelen van (mogelijke) geschillen, juridische procedures of om te voldoen aan wettelijke verplichtingen.

Delen van persoonsgegevens met derden

Joinlii deelt uw persoonsgegevens met verschillende derden als dit noodzakelijk is voor het uitvoeren van de overeenkomst en om te voldoen aan een eventuele wettelijke verplichting.

Met bedrijven die u gegevens verwerken in onze opdracht, sluiten wij een verwerkersovereenkomst om te zorgen voor eenzelfde niveau van beveiliging en vertrouwelijkheid van uw gegevens. Joinlii blijft verantwoordelijk voor deze verwerkingen.

Cookies, of vergelijkbare technieken, die wij gebruiken

Joinlii gebruikt alleen technische en functionele cookies. En analytische cookies die geen inbreuk maken op uw privacy. Een cookie is een klein tekstbestand dat bij het eerste bezoek aan deze website wordt opgeslagen op uw computer, tablet of smartphone. De cookies die wij gebruiken zijn noodzakelijk voor de technische werking van de website en uw gebruiksgemak. Ze zorgen ervoor dat de website naar behoren werkt en onthouden bijvoorbeeld uw voorkeursinstellingen. Ook kunnen wij hiermee onze website optimaliseren. U kunt zich afmelden voor cookies door uw internetbrowser zo in te stellen dat deze geen cookies meer opslaat. Daarnaast kunt u ook alle informatie die eerder is opgeslagen via de instellingen van uw browser verwijderen

Gegevens inzien, aanpassen of verwijderen

U heeft het recht om uw persoonsgegevens in te zien, te corrigeren of te verwijderen. Daarnaast heeft u het recht om uw eventuele toestemming voor de gegevensverwerking in te trekken of bezwaar te maken tegen de verwerking van uw persoonsgegevens door Joinlii en heeft u het recht op gegevensoverdraagbaarheid. Dat betekent dat u bij ons een verzoek kunt indienen om de persoonsgegevens die wij van u beschikken in een computerbestand naar u of een ander, door u genoemde organisatie, te sturen. U kunt een verzoek tot inzage, correctie, verwijdering, gegevensoverdraging van uw persoonsgegevens of verzoek tot intrekking van uw toestemming of bezwaar op de verwerking van uw persoonsgegevens sturen naar privacy@joinlii.nl.

Om er zeker van te zijn dat het verzoek tot inzage door u is gedaan, vragen wij u een kopie van uw identiteitsbewijs met het verzoek mee te sturen. Maak in deze kopie uw pasfoto, MRZ (machine readable zone, de strook met nummers onderaan het paspoort), paspoortnummer en Burgerservicenummer (BSN) zwart. Dit ter bescherming van uw privacy. We reageren zo snel mogelijk, maar binnen vier weken, op uw verzoek.

Joinlii wil u op wijzen dat u de mogelijkheid heeft om een klacht in te dienen bij de nationale toezichthouder, de Autoriteit Persoonsgegevens. Dat kan via de volgende link:

Hoe wij persoonsgegevens beveiligen

Joinlii neemt de bescherming van uw gegevens serieus en neemt passende maatregelen om misbruik, verlies, onbevoegde toegang, ongewenste openbaarmaking en ongeoorloofde wijziging tegen te gaan.

Wij hebben de volgende maatregelen genomen om uw persoonsgegevens te beveiligen:

Servers en apparaten van onze medewerkers zijn uitgerust met actuele beveiligingssoftware, zoals een virusscanner en firewall;

Wij versturen uw gegevens alleen via beveiligde internetverbindingen (TLS, voorheen SSL). Dit kunt u zien aan de adresbalk ‘https’ en het hangslotje.

Als u de indruk heeft dat uw gegevens niet goed beveiligd zijn of er aanwijzingen zijn van misbruik, neem dan contact op met onze klantenservice of via privacy@joinlii.nl.

Personal data we process

Joinlii processes your personal data because you use our services, attend our events and/or because you provide this data to us yourself. Below is an overview of the personal data we process:

1. registration details (name, organisation, role, contact details);
   2. information regarding participation in an event;
   3.    communication preferences;
   4.    payment and billing details;
   5.    interaction data during the event (e.g. participation in workshops, downloads, contact moments);
   6.    technical data relating to online use (IP address, browser information, click behaviour)

Joinlii processes your personal data for the following purposes:

1. administrative processing of participation in or attendance at an event organised by Joinlii;
   2. communication regarding the event and related organisational matters;
   3.    security and access management;
   4.    invoicing and financial administration;
   5.    compliance with legal obligations.

While providing its services, Joinlii may take photographs, videos and other forms of visual material in which you may be visible. These recordings may include both wide-angle shots and close-ups.

Joinlii does not intend to collect personal data from individuals under the age of 16, unless they have the consent of a parent or guardian. However, we cannot verify whether a visitor is over 16. We therefore advise parents to be involved in their children’s online activities to prevent data about children from being collected without parental consent. If you believe that we have collected personal data about a minor without such consent, please contact us at privacy@joinlii.nl, and we will delete this information.

Profiling

Profiling involves Joinlii combining and analysing certain (personal) data in order to better tailor its services to the needs of visitors, participants, exhibitors or business contacts. This involves automated processing whereby Joinlii attempts to identify patterns, preferences or interests. Profiling does not automatically imply fully automated decision-making without human intervention.

Purposes of profiling

Joinlii uses profiling to improve our services (for example, by analysing which parts of an event are popular, so that Joinlii can optimise future editions) and communication (for example, to better tailor invitations, updates or marketing messages to interests previously expressed).

How long we retain personal data

Joinlii does not retain your personal data for longer than is strictly necessary to fulfil the purposes for which your data is collected. We are required to retain certain personal data for longer, as Joinlii must comply with statutory retention obligations, such as tax retention requirements.

In general, we apply the following principles:

• Operational data (such as contact details, communications and administrative information) is retained for as long as necessary to fulfil our agreement or provide our services.
  • Financial and tax data is retained for the statutory retention period of 7 years, as required by HM Revenue & Customs.
  •             Data that Joinlii processes on the basis of consent is retained until consent is withdrawn, unless a longer retention period is required by law.
  •    Data that is no longer necessary for the purpose for which it was collected is deleted or anonymised so that it can no longer be traced back to an individual.
  •             In some cases, we may retain personal data for longer where this is necessary to resolve (potential) disputes, legal proceedings or to comply with legal obligations.

 

Sharing personal data with third parties

Joinlii shares your personal data with various third parties where this is necessary for the performance of the contract and to comply with any legal obligations.

We enter into a data processing agreement with companies that process your data on our behalf to ensure the same level of security and confidentiality for your data. Joinlii remains responsible for these processing activities.

Cookies, or similar technologies, that we use

Joinlii uses only technical and functional cookies, as well as analytical cookies that do not infringe on your privacy. A cookie is a small text file that is stored on your computer, tablet or smartphone when you first visit this website. The cookies we use are necessary for the technical operation of the website and your ease of use. They ensure that the website functions properly and, for example, remember your preferences. They also enable us to optimise our website. You can opt out of cookies by adjusting your web browser settings so that it no longer stores cookies. You can also delete any information previously stored via your browser settings.

Viewing, amending or deleting data

You have the right to view, correct or delete your personal data. In addition, you have the right to withdraw any consent you may have given for data processing or to object to the processing of your personal data by Joinlii, and you have the right to data portability. This means that you can submit a request to us to send the personal data we hold about you in a computer file to you or to another organisation specified by you. You can send a request for access, correction, deletion, data portability of your personal data, or a request to withdraw your consent or object to the processing of your personal data to privacy@joinlii.nl.

To ensure that the request for access has been made by you, we ask you to include a copy of your ID with the request. In this copy, please black out your passport photo, MRZ (machine-readable zone, the strip of numbers at the bottom of the passport), passport number and Citizen Service Number (BSN). This is to protect your privacy. We will respond to your request as soon as possible, but within four weeks.

Joinlii would like to point out that you have the option to lodge a complaint with the national supervisory authority, the Dutch Data Protection Authority. You can do so via the following link:

Joinlii takes the protection of your data seriously and takes appropriate measures to prevent misuse, loss, unauthorised access, unauthorised disclosure and unauthorised alteration.

We have taken the following measures to protect your personal data:

Our employees’ servers and devices are equipped with up-to-date security software, such as a virus scanner and firewall;
